Who we are

Keyfold Ltd is registered in England & Wales. Registered office: Churchill House, Regent Road, Stoke-on-Trent ST1 3JJ. We are the data controller for personal information collected through keyfold.co.uk, by phone, by email or in branch. Contact us about anything in this policy at hello@keyfold.co.uk.

What we collect and why

  • Enquiries and valuation requests — your name, contact details and property details, so we can respond to your enquiry and provide the valuation or service you asked for (legal basis: taking steps at your request before entering a contract).
  • Selling, letting, buying or renting through us — identity documents, financial and transaction details required to deliver the service and to meet our legal obligations, including anti-money laundering checks and right-to-rent checks.
  • Website usage — limited technical data (pages visited, device type) to keep the site working, fast and secure. See our cookie policy.

Who we share it with

Only where the service requires it: property portals when marketing your home, referencing providers when you apply to rent, deposit protection and client-money-protection schemes, our IT providers (who process data only on our instructions), and authorities where the law requires disclosure. We never sell your data.

How long we keep it

Enquiry records are kept for up to 2 years from last contact. Transaction files (sales, tenancies) are kept for 7 years after completion to meet legal, tax and regulatory obligations. Anti-money laundering records are kept for 5 years as required by law.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, object to or restrict processing, and withdraw consent where processing is based on consent. Email hello@keyfold.co.ukand we will respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk.
